Standard Operating Procedures

Goals 1:  Develop a standard operating procedures (SOP) manual by November, 2003

Objective 1: Form task force and identify chair

  • Recruit ICCET members to serve on task force (including mix of veteran members and newer members)
  • Task force should include some former presidents.
  • Task force members appoint a chair to lead it

Objective 2: Create outline for contents of manual

  • Brainstorm sections for manual including: Plan/schedule for meetings
    • Outgoing gifts
    • Profit margins
    • Secretary minutes
    • Committee procedures
    • Board expenses
    • Conference planning
    • Officer & committee chair responsibilities
    • Plan for fun
  • Draft table of contents

Objective 3: Development of manual sections

  • Develop drafts of sections including addendums as appropriate
  • Distribute drafts for review and comment

Objective 4: Collate draft sections and integrate into one document

  • Compile sections for flow and consistency in content and style
  • Edit and wordsmith document

Objective 5: Distribute draft for review and comment

  • Distribute draft to Executive Board members for review and comment
  • Collect comments and organize them for review by task force

Objective 6: Modify document as appropriate

  • Review comments and contest any comments deemed worthy
  • Modify document and redistribute to Executive Board for final review

Objective 7: Finalize SOP manual and distribute to membership

  • Distribute to Executive Board for final review
  • If no further changes necessary, finalize into appropriate medium (tape bound, loose leaf, spiral bound, or electronic)
  • Distribute to membership

Professional Development

Goal 1: Develop and implement a professional development plan by November 2003

Objective 1: Create and implement a job shadowing program

  • Recruit ICCET members to serve on task force (including some people who have participated in the ICISP Exchange program).
  • Identify member colleges and individuals who are interested in the job-shadowing program.
  • Develop regional consortiums, which would make job shadowing easy for members to participate.
  • Develop a suggested list of activities, procedures and/or questions to guide the job shadow experience.
  • Select and schedule initial job shadow participants

Objective 2: Create and implement a mentoring program

  • Identify a task force member to work closely with the membership committee
  • Identify seasoned ICCET members (3-5 yrs experience) who are interested in being a mentor.
  • Identify newer ICCET members (1-2 years experience) who are interested in working with a mentor.
  • Develop timeline for updating mentoring list
  • Schedule other join mentoring activities throughout the year
  • Develop guidelines, suggested activities etc. for mentoring program.
  • Schedule a meet/greet Kick off

Objective 3: Implement a continuous professional development plan for members

  • Survey current members on professional development needs, interest, time and motivation.
  • Analyze survey results
  • Research and publish a list of regional, state and national professional development organizations/conferences appropriate for members.
  • Identify, develop and promote continuous regional consortium meetings for members.
  • Develop goals for yearly educational opportunities for members to begin Nov ‘03
  • Encourage information sharing and use of the ICCET Listserv by sharing quarterly informational news, trends, “hot topics,” etc.

Goal 2: Develop and implement a system of collaboration by November, 2003

Objective 1: Create relationships with outside organizations

  • Identify organizations with whom to build relationships
  • Identify methods for developing relationships (ICCET website links to pertinent organizations)
  • Contact ICCET host site and coordinate links to organizations
  • Initiate contact with organization

Objective 2: Devise ways to showcase the Organization to all Illinois Community College staff

  • Identify ways to showcase ICCET
  • Create a marketing tool that demonstrates the strengths and benefits of ICCET
  • Identify how and when to disseminate marketing information
  • Send out information

Goal 3: Develop and implement a plan to increase membership 10% by November 2003

Objective 1: Establish a method for identifying potential members and new employees

  • Design ways to gather information regarding non-member colleges and new employees
  • Establish a timeline to have information organized

Objective 2: Develop a system to recruit new members

  • Identify guidelines/campaign for marketing to potential members
  • Identify timeline for on-going distribution of information
  • Distribute promotional materials (email, mail, personal contact)
  • Follow-up with personal contact

Goal 4: Retain membership by 95% by November 2003

Objective 1: Develop a method for member recognition

  • Identify ways to recognize members
  • Design awards 
  • Identify where and when to present awards

Objective 2: Develop method for encouraging members to renew membership

  • Establish a timeline for listserv reminders
  • Identify members who have not renewed
  • Follow-up with personal contact to colleges who have not renewed
  • Send out renewal information

Goal 5: Increase membership involvement by November 2003

Objective 1: Develop a method to increase conference attendance by 20%

  • Identify new creative ways to market conferences
  • Establish a timeline to send out conference reminders on the listserv
  • Identify colleges who have not registered and personally contact them

Objective 2: Develop ways to increase committee participation by 75% Committees: Membership, Professional Development, Communication/Marketing and Standard Operating Procedures

  • Identify potential committee members
  • Communicate need for participants and clearly explain committees’ charge
  • Keep membership abreast of ICCET activities 

Objective 3: Develop ways to increase attendance at general membership meetings by 75%

  • Develop a timeline to send out listserv reminders
  • Identify ways to encourage participation—giveaways, etc.
  • Identify members who usually do not attend and personally contact them
  • Keep membership informed of ICCET activities

Goal 6: Increase college representative involvement by November 2003

Objective 1: Develop and distribute a list of representative duties

  • Identify representative duties
  • Develop duty information sheet to send out with renewal forms 

Objective 2: Develop ways to recognize representatives for their participation

  • Identify ways to recognize representatives
  • Decide when, where and how to recognize representatives

Objective 3: Create listserv for representatives

  • Identify representatives
  • Send names to communication committee
  • Coordinate with communication committee to implement listserv

Communication/Marketing

Goal 1: Develop and implement technology plan by November, 2003

Objective 1: Find new host for website

  • Send email to list serve members soliciting a host sponsor or information about an alternative site
  • Appoint committee member as liaison to host site
  • Provide new host Institution or organization current ICCET information
  • Establish an implementation date
  • Establish a timeline for web site updates

Objective 2: Create and implement ICCET college representative list serve

  • Contact membership chair for list of representatives email addresses
  • Send information to ICCB for implementation
  • Devise a timeline to update representative list

Objective 3: Create and implement new member page for ICCET website

  • Develop information to include on page
  • Develop template for new member page
  • Contact membership chair for a list of new members
  • Launch new member web page
  • Send information about new page to membership

Objective 4: Create and implement online membership registration for ICCET website

  • Develop with host site membership online registration form
  • Pilot member online registration
  • Send information about new online registration to colleges

Goal 2: Develop and implement new marketing methods and materials by November, 2003

Objective 1: Explore the feasibility of developing a new logo

  • Appoint task force to explore the feasibility of changing the current logo

Objective 2: Explore feasibility of developing a new slogan

  • Appoint a task force to review the feasibility of developing a new slogan

Objective 3: Continue to monitor external organizational marketing procedures and materials

  • Appoint a task force to review external marketing procedures/materials
  • Revise, if needed, current external organizational marketing information and procedures
  • Implement new procedures
  • Disseminate new marketing materials
  • Schedule timeline to review information

Objective 4:Develop and disseminate marketing information explaining the philosophy, principals, and history of ICCET

Goal 3: Continue ICCET’s lobbing efforts with the Governor’s Office, ICCB, Legislators and other pertinent State Officials/Agencies by November, 2003

Objective 1: To market the Organization at State level

  • Disseminate current and new marketing information 
  • Utilize ICCB liaisons
  • Solicit letters from members when appropriate
  • Develop an action plan/methods of contact based on Organization needs
